Unit4 Advanced Virtual Assistant ("Ava") is available in Microsoft Teams. It helps you to:
Use short and simple sentences
It is best to use short, simple phrases, such as Show my tasks. Do not use single words because these can be confusing. If Ava is unsure how to respond to your request, you will be asked to choose the correct response. Ava often provides suggested prompts to help you navigate conversations. Just click on a suggested prompt to say it to Ava.
Switching between tasks
If Ava is busy with a task and you want to switch to something else, you must say quit to stop the current chat. Ava is then free to help with the new task.
Making choices with action buttons
Buttons are sent in a chat to show which actions you can choose. In general, these actions are only valid at the point they are shown in the chat. This means you cannot choose buttons that have been sent earlier in the chat as they are no longer valid (except for the View button). After clicking an action button, give Ava time to complete the action, and wait for a response. Repeatedly clicking on buttons while Ava is working may cause problems.

You can use the following commands to perform some useful common functions.
If Ava does not understand you or gives you an unexpected reply, then try to reword your request and try using different key terms. Alternatively, Ava often provides suggestions for what you might want to say and do next.
If you want to end the current chat, say quit, exit or stop.
You must sign in to your work or organization account, so that Ava has access to Unit4 ERP and can help with your requests. Think of it as opening a secure channel from within your social media app to your Unit4 ERP account, which Ava can then use to communicate with Unit4 ERP on your behalf. If you are not signed in and you ask Ava to help you with something, then you will be asked to sign in. You can also sign in by saying sign in or log in and Ava will guide you through the process.
To sign out from your work or organization when using Ava, say sign out or log out. You are then signed out of your session with Ava, and you must sign in again the next time you need help. If you are using Ava on a device that is accessible to others, then we strongly recommend that you sign out when you are done to prevent others from potentially accessing and using Ava on your behalf.
Ava currently speaks English, Spanish, French, German, Dutch, Swedish, Norwegian, and Danish. More languages will be added in future. You can ask Ava Which languages do you understand? to get the current list. The default language is English, but you can change this at any time by saying Change language or Change preferences. If you change your language, Ava continues talking to you in this language until you change it back. Ava also remembers your choice if you sign out and sign back in again.
If you are in a chat where Ava expects a response from you and does not get one within 20 minutes, Ava cancels the chat and is then ready to help you with a new task.
Ava asks you to set the following preferences and remembers your choices until the next time you sign in:
Ava understands the most basic set of emojis, but not all. Ava does not understand GIFs. We advise against using emojis or GIFs.
All information you send to Ava is stored in Unit4 ERP under the same security policies as all other Unit4 ERP data. However, the information you include in your chats with Ava is subject to the terms and conditions and privacy policies of your social media channel provider (Microsoft Teams) which you must accept to use their service, as well as the terms and conditions and privacy policies of the Microsoft Bot Framework upon which Ava is built.
