Task Assistance
Ava's Task Assistance is available for use with Unit4 ERPx and Unit4 ERP CR.
How does Ava help me approve my tasks?
To review and approve tasks with Ava:
- Open your chat with Ava in Microsoft Teams.
- Ask Ava to show your assigned tasks.
- Select the tasks you want to work on.
- Review the task cards that Ava displays in the Tasks carousel sorted by due date.
- Complete the available action for each task.
Important information
Task cards
Each task card includes task-related information and available actions, depending on your organisation's configuration.
Most urgent tasks
The carousel displays your four most urgent tasks first. You must process these tasks before you can view more tasks in the carousel.
If you want to view all your tasks without processing the most urgent ones, you should go to Unit4 ERP.
Tasks to review in Unit4 ERP
If you need to review a task first, you can review it in Unit4 ERP.
Note: If there are too many tasks for Ava to display, or if the task data is too large to display, Ava notifies you and you need to go to Unit4 ERP to review all tasks.
Task notifications
Ava flags your important tasks and helps ensure your tasks are done in time by sending notifications when tasks are assigned to you or when a task is due.
How do notifications and sessions work?
Ava handles task sessions and notifications as follows:
Active task sessions
When you receive a task notification, Ava starts an active task session.
During an active task session, your task adaptive cards remain valid and you can continue to use them.
Notifications during a task session
While your task session is active, Ava does not deliver any additional task notifications.
If you have multiple task notifications, Ava queues them and delivers them one at a time.
Session timeout
If you do not take any action, Ava automatically closes the session after 20 minutes of inactivity.
The session also ends as soon as you take action on the task, for example when you approve or reject it.
When the next notification arrives
When a task session ends, Ava can immediately deliver the next queued notification.
This means you receive task notifications sequentially. After the first notification, the next one arrives either after 20 minutes of inactivity or as soon as you act on the current task.
Notifications outside a task session
If you are not in an active task session, notifications are delivered immediately as normal.
Which tasks can Ava help me with?
Ava can currently help you with the following types of tasks:
- Absences.
- Timesheets.
- Travel expenses.
- Travel requests.
- Requisitions.
- Goods receipts.
- Purchase orders.
- Invoices.
Warning: If you must approve other types of tasks, such as sales orders, Ava cannot help you with these and you need to complete them in Unit4 ERP.
